Refund Policy

If a student exits or is dismissed during the first seven calendar days of the semester, the student will be credited 100% of the charges for tuition, applicable fees, and room and board.

After the first seven days and before the end of the 60% point of the semester, students who are exiting will be credited tuition, applicable fees, and room and board on a pro-rata basis. The pro-rata calculation will use the number of calendar days completed divided by the number of total calendar days included for the full semester. After the 60% point of the semester, there is no adjustment for tuition, fees or room. Meal plans will continue to be pro-rated until the end of the semester.

Date of Withdrawal

The date of withdrawal or dismissal is determined by the Registrar’s office. Ceasing attendance of classes does not constitute dropping those classes or withdrawal from the institution. In order to be eligible for a refund or repayment pursuant to the above policy, the student must notify the institution in writing according to the processes outlined on our website. For questions regarding this process, contact the Registrar’s office.

Prorated Tuition, Room, & Board Calculation Due to Withdrawal or Dismissal from the Institution and Residence Halls

The prorated calculation for tuition, room, and board uses the number of calendar days completed from the first day of the semester to the time of withdrawal or dismissal, divided by the number of total calendar days included for the full term. For all students, including online students, the first day of the semester is the date that classes begin, as published in this catalog, regardless of the date of the student’s first class. Even if the number of planned residential days is fewer than the number of academic calendar days, the academic calendar is the basis of all pro rata credit calculations.

Prorated Room & Board Calculation Due to Withdrawal from Residence Halls While Remaining Enrolled

In the event a student exits the residence hall, for any reason, while continuing to remain enrolled academically, the institution is under no obligation to issue credits or refunds. This includes closure due to a calamity or catastrophe beyond the institution’s control that would make continued operation of student housing infeasible, including, but not limited to, such circumstances as natural disaster, national security threat, or widespread pandemic.

Return of Funds

If a student receives financial aid, credit received as a result of withdrawal or dismissal is first applied to financial aid sources. Federal regulations are used for return of Title IV funds and individual state, institution, or outside scholarship policies for return of non-Title IV funds. Because financial aid funds must be used for educational expenses, when a student is receiving financial aid for non-institutional costs and withdraws from the institution, a portion of this aid must be repaid. The order of distribution for the return of Title IV funds is as follows:

  1. Unsubsidized FFEL/Direct Stafford Loan
  2. Subsidized FFEL/Direct Stafford Loan
  3. FFEL/Direct PLUS Loan
  4. Pell Grant
  5. FSEOG
  6. Other Title IV programs

Here’s all you need to know to get started using Web Services.

New Student Information

Newly admitted students are automatically registered for a full-time class schedule based on their placement, prior credits, and program requirements unless they have indicated to Admissions that they do not want to be full time.   Registration takes place in the months just prior to the start of classes, after applicants have been accepted and paid their deposits.  Initial class schedules are tentative and may change up until the start of classes.  Class schedules are not mailed; they are available on Web Services.  Hard copies of the official schedule will be available at the Office of the Registrar or site office during orientation.

Students who need to change their initial schedules may do so with their advisors during orientation and through the first week of classes.  No online registration or add/drop is available until the start of classes.  Online registration and add/drop is only available during preregistration and the first week of classes, and only then by approval of the academic advisor.

Activate Account

New students must activate their Vermont Tech IT accounts to have access to Portal, Web Services, and their Vermont Tech email services. Activate your account here and click on the “New User” link on the right side of the page:

  • Your college ID is on the bottom of the acceptance letter from Admissions
  • To find your college ID (and username) online, click on the “What’s My College ID?” link
  • Memorize the ID, username, and password; they will be needed often
  • Students without SSNs or who need help with account activation should contact vtcit@vtc.edu or (802) 728-1721
  • Once you have your username and password, click on the login button to get on Portal; from Portal you can access Web Services and Web Mail
  • There will be computer orientation classes during orientation

If you’re having problems accessing Web Services, or if you forgot your password or email address:

  • Go to the VSC portal to check or change your account information

Web Services has class schedules, unofficial transcripts, mid-term warnings, grades, test scores, graduation applications, degree audits (program evaluations), bills, financial aid, and FERPA/Privacy information. Take some time to look at what is available on the Web Advisor Student Menu.

Under the “My Courses” link there are classes that instructors have set up with online support; not all instructors or classes use this area. The courses listed here are not the class schedule. To view a full class schedule use the Web Services “VSC Class Schedule” on the Students menu under “Academic Profile”.

Vermont Tech Web Mail can be accessed, once you are in the Portal, by clicking on the envelope link on the left side of the page above the calendar, or by going here.

To View Your Class Schedule:

  1. After logging into Portal, click on the Quick Link to Web Services and log in again
  2. Select “Students” under Academic Profile on the Students menu
  3. Select “VSC Class Schedule”
  4. Select the term
  5. Click submit
  6. The class schedule will appear with meeting times and dates and links to the course descriptions and other information

To Search for Course Offerings:

  1. Prior to login, select the VSC Courses/Catalog tab and then select “Search for Sections”; or,
  2. After logging in, on the Students menu under Registration select “Search for Sections”
  3. Select term (eg T11FA for VTC fall)
  4. Select at least one additional piece of info, such as – Subject (ENG), Course Number (1061), Section (T1), location (TWIL), or select Academic Level of “UG” to get all offerings in the term
  5. Click “Submit”
  6. The class schedule will appear with meeting times and dates and links to the course descriptions and other information

Set Access to Student Records (FERPA):

Students can set up their accounts to allow release of their student info to parents, spouse, or others, or to allow release to them alone.

  1. After logging in to Portal, click on the “Quick Link to Web Services” and log in again.
  2. Select “Students” under the Academic Profile on the Students menu
  3. Select “FERPA Authorization Form”
  4. Students who wish to authorize individuals to have access to their educational record must enter information about the individual(s) to whom they wish to grant access, click the “grant access” box, enter a 5-digit access code, and click submit.
    1. Individuals requesting access to your academic information will have to provide your full name, college ID, and the access code that you entered. This access code does not include official reports of grades or transcripts; these must be requested individually by the student.
  5. Students who do not wish to release academic information to third parties should review the FERPA information, remove any previous access information, and click submit
  6. Upon submission, students will receive an email notification confirming their selection

Other Information

All five Vermont State Colleges: Vermont Tech, Castleton, Johnson, Lyndon, and the Community College of Vermont, use the same online Web Services.

Students, other than LPN students, who desire to co-register at another VSC school under the VSC Enrollment Consortium Agreement at no additional charge may contact the Registrar’s Office (802) 728-1303 to register.

Academic advisors are not assigned until near the start of school.

Advisor contact information will be available in Web Services under “My Profile” when they have been assigned. There is an email link directly to your advisor under “Communication” on the Students menu.

After the start of classes, all students are expected to use Vermont Tech email or forward it to an account that they regularly check.

Important information is sent to students via email only. Training on and policies pertaining to computer usage at Vermont Tech is conducted during orientation.

The Family Rights and Privacy Act (FERPA) is a federal law designed to protect the privacy of student educational records.

The law gives eligible students, those who have reached the age of 18 or the parents of students under the age of 18, certain rights with respect to their education records. Students have the right to inspect, review, and request that the college correct educational records believed to be inaccurate or misleading. If parents/guardians claim a student as a dependent, they may have access to the student’s educational records without prior permission.

Generally, the college must have written permission prior to releasing any academic information from a student’s record. However, the law allows the college to disclose records without consent for official school business.

Students must complete an online form in Web Services that provides parents or others with access to their academic records and an access code for them to provide when seeking information either in person or on the phone. This permission does not include transcript requests, grade reports, or enrollment verifications; these must be individually requested by the student. (Refer to the Set Access to Student Records above)

The college may disclose, without consent, “directory type information” that is considered not to be harmful to the student or parent if released. The information considered by the college to be directory information is name; home and college address; telephone listing; email address; date of birth; major; enrollment status (full-time or part-time); enrollment level (undergraduate or graduate); dates of attendance; degrees and awards received; weight and height of athletic team members; photographs; most recent and previous educational institutions attended; and participation in officially recognized activities and sports. Parent information is not directory information.

Students have the right to withhold the release of any or all directory information. To do so, a written request must be made at the Office of the Registrar.  It should be noted that if directory information is to be withheld, it will be withheld from all parties. A request to withhold directory information must be made as soon as possible after the start of term and will remain in effect until revoked by the eligible student.

What does the Registrar do?

The Registrar’s Office provides services related to academic programs, student registration, transfer credit evaluations, class schedules, academic standings, verifying enrollment, academic transcripts, certifications of student-athletes and veterans, and maintaining student records including name and address changes.

How do I register for classes?

How do I change my schedule (add or drop a class)?

Students who need to change their schedule may do this with their advisor. Online registration is only available during registration and the first week of classes. At all other times, registration or add/drop forms are required. Off-campus locations, students can have their advisors email changes and approvals to registrar@vtc.edu.

The normal add/drop period is defined as the first two weeks of classes.  Degree students may add or drop a course until the end of the second week of classes with their advisors’ permission.

After the first week of classes, adding is at the discretion of the instructor who teaches the course. So students need both the instructor and the advisor permission to add.

A student who drops any courses after the first two weeks of classes isn’t reimbursed unless they withdraw from ALL of their courses for the term.  For dropped courses after the first two weeks and up to the 60% point of the term W grades will be issued. These W grades are not calculated in the student’s GPA.

Students may not drop courses after the 60% point of the term. If they stop attending after the 60% point, they will remain on the class roster and receive an earned grade, usually F or NP.

What happens if I just stop attending classes?

Students must meet the attendance and assignment requirements set by each instructor for each class in which they are enrolled. Failure to meet these requirements may result in removal from the class roster with a failing grade.

In cases of excessive absences and upon the recommendation of the instructor, a student may be dismissed from the college with failing grades.

It is important to ensure that drop slips are turned in promptly. The only way for the student to know whether the drop slip has been processed is to check their VSC official schedule in Web Services.

It is the student’s responsibility to inform the instructor and make satisfactory arrangements.

What happens if I withdraw from the college?

Students who withdraw from all their classes prior to the 60% point of the term will receive W grades and receive prorated reimbursement. Students who withdraw after the 60% point do not get reimbursed for tuition and receive earned grades in all their classes, usually F or NP grades.

Students who withdraw for medical reasons after the 60% point must have a letter from a physician stating the reason for the withdrawal. The student will also be required to provide another letter stating that they are medically fit to return to their studies upon their return. In the case of medical withdrawal, W grades may be assigned for all course work.

Students who stop attending Vermont Tech for at least one year (other than nursing or capped programs) must contact Admissions for re-entry to a degree program.

What is the VSCS?

Vermont Tech is part of the Vermont State Colleges System (VSCS), which includes Castleton University, the Community College of Vermont, Northern Vermont University, and Vermont Tech. The four colleges share one database and academic transcript. This means that students can move among the colleges and their course work does not have to be transferred; it is already part of one unified VSCS transcript.

What is VSCS Consortium Enrollment?

Matriculated Vermont Tech students (except those enrolled in LPN trimesters) may enroll simultaneously at Vermont Tech and any of the other Vermont State Colleges (Castleton, NVU, or CCV) and use their total VSCS enrollment for billing and financial aid at their home school.

Students who desire to register at another VSCS school under VSCS Consortium Enrollment may contact the Registrar’s Office (802) 728-1302 or 728-1303.

Who is my advisor and how do I contact them?

Students have assigned advisors, usually within their program, and are encouraged to meet with them throughout the academic year to discuss progress and future plans.  Students who are having academic or personal difficulties may get extra help from faculty advisors to identify problem areas and obtain referrals to campus services.

To email an advisor, sign into the Portal, and in the “Plan your Degree” tile click on “Contact My Advisor”, then “Advising”.

How do I register for classes at another VSCS school?

Registration at other VSCS schools for matriculated Vermont Tech students can only be done through the Office of the Registrar on a pre-registration form approved by the academic advisor or online when the other college is accepting registrations. Students should indicate the specific section(s) at the other VSCS school for which they would like to register.

Other than summer, if a student plans to only take courses at another VSCS school for a term, they should complete a non-returning student form and turn it in to the Registrar and register for the class through the other college.

During the summer term, students may enroll entirely at another VSCS school without changing their academic program to that school. During the summer, students are billed at the rates of the school that is offering the courses.

How do I have bad grades from old programs forgiven?

One time in an academic career, a student who is changing programs or VSCS schools may, with proper approval, have selected grades excluded from the calculation of his or her cumulative GPA in the new academic program. Grades may only be excluded for courses required in the old program that are not required in the new or subsequent four-year program. All credits earned in courses excluded from the calculation are lost. This policy does not apply to electives or credits used for any diploma, certificate, or degree already awarded.

Approval from the student’s new program department chair or director is required for grade amelioration. The student must have:

  • One term of at least 6 credits with a term GPA of 2.00 or better following the term for which amelioration is requested
  • Approval from the Academic Deans of both the home and sending institutions

What courses are offered during the summer?

Vermont Tech offers limited courses during the summer, normally including Technical Communication, Elements of Microbiology, Calculus, and other options. Students may enroll at Vermont Tech and/or entirely at another VSCS School without changing their academic program to that school. Enrollment is done by contacting your academic advisor or through the Vermont Tech Registrar. During the summer, students are billed at the rates of the school at which they take courses.

A few general education courses are also typically offered during the summer. The courses and dates for summer offerings will be available online by the end of the spring semester. Contact the Director of Student Life for information about on-campus housing during summer sessions. Only students enrolled in credit-bearing courses or full-time Vermont Tech summer employees are eligible for summer housing.

What do I need to know about email?

How do I see my grades?

Vermont Tech does not mail out class schedules, mid-term warnings, or grades, so it is important for students to be able to access this information online through Web Services. It is expected that each student will use his or her personal computer or one available in one of the many computer labs to get this information. Computer training is available during orientation weekend, and students can get further assistance from their advisors or the IT Helpdesk.

Students who need a written grade report may request one from the Registrar.

How do I find out what courses are being offered and when?

To search for class offerings at Vermont Tech or any of the Vermont State Colleges, use this link.

Select a specific college term and at least one other piece of information such as a course subject (ENG), course number (ENG 1061), section number (ENG-1061-T1), location (VTC for Main Campus offerings, TONL for on-line offerings, or TWIL for Williston Campus offerings), or select an Academic Level of “UG” to display all sections offered in that term andclick “submit”.

How do I find my username and password?

On the Portal login page, click on “Forgot my username” to get the username..

How do I change my password?

Students can change their password on their Portal Homepage by clicking on the “Change Password” link at the top of the page.

How do I get on Web Services?

What is FERPA?

A federal law, the Family Educational Rights and Privacy Act of 1974 (FERPA) affords students certain rights with respect to their educational records. The primary rights afforded to each student include, but are not limited to, the right to inspect and review their education records, the right to request amendment of records, and the right to limit disclosure of information from the records.

In accordance with federal law and regulations issued by the U.S. Department of Education, the Vermont State Colleges System (VSCS) has adopted the following policies and procedures for each of its colleges. The colleges within the VSCS are: Castleton State College, Community College of Vermont, Northern Vermont University, and Vermont Technical College. The purpose of this VSCS policy is to set forth the rights of inspection and requesting amendment, and the prohibitions against unauthorized dissemination of educational information.

How do students provide access for parents or guardians to their academic information?

NOTE: Individuals requesting access to academic information will have to provide the students full name, college ID, and the current access code.  This access does not include official reports of grades or transcripts; those require an individual written request through the Registrar.

What do Veterans need to know?

If students plan on using their VA educational benefits to pay for school, they must apply to the Department of Veterans Affairs (VA).  This can be done online at www.va.gov.  Vermont Tech does not evaluate service records to determine benefits eligibility, that is the role of the VA.  We assist in the benefits application process by putting students in contact with a VA representative.

Once a student has received approval from the VA, they simply need to send the Certificate of Eligibility (COE) and a copy of their DD214 to the VA School Certifying Official (SCO) located in the Administration building on the Randolph Center campus.

Once eligibility is established, the VA SCO will email the student a Veterans Service Request for Enrollment Certification form.  This form is required each term prior to certification.

Veterans need to be prepared to purchase books and have living expenses for the first 6 – 8 weeks of classes while the first benefit check is processed by the Department of Veterans Affairs.  Payments are notoriously slow, but will be retroactive to the start of the term once they begin.

The BAH rate is based on where the majority of classes are taken.

Graduation Standards

All Vermont Tech students are required to demonstrate competence in written and oral communication, information literacy, and quantitative reasoning prior to graduation. These graduation standards are evaluated for competency at the associate and bachelor levels.   

Students are required to pass each standard only once for their degree level while in the Vermont State Colleges. Completion of each standard is reflected in the student degree audit or program evaluation. Students who have received a bachelor’s degree from a regionally accredited institution are waived from this requirement.

Information Literacy

The Information Literacy standard is evaluated in the first-year English sequence. Students must pass the assessment in order to pass first-year English. The evaluation is graded as part of a research writing assignment.

Written Communication

The Written Communication standard is evaluated in the first-year English sequence or in ENG 2080 Technical Communication. Students must pass the assessment in order to pass either first-year English or ENG 2080 Technical Communications.

Oral Communication

The Oral Communication standard is evaluated in a program course in each major or in a general education course selected by the degree granting department

Quantitative Reasoning

The quantitative reasoning standard is evaluated in entry level mathematics courses for non-engineering programs and by placement exams and in the mathematics courses for engineering students.  Students must pass the evaluation at the associate level to pass the course in non-engineering mathematics courses.

  • Students who achieve placement level 3 ​(Pre-Calculus 1) will have met the standard at the associate level
  • Students who achieve placement level 5 (Calculus) will have met the standard at the bachelor level
  • Students who complete the Pre-Calculus sequence ​or Statistics will have met the bachelor level standard
  • The evaluation is graded 1 through 5
  • Associate degree students must score a minimum of 3
  • Bachelor degree students must score a minimum of  4
  • Bachelor students who have completed the required coursework in which the standards are assessed, but who have not met the standard at the bachelor level may take a departmental challenge exam.

Waivers, Challenges, Substitutions, Prior Completions, and Transfer Credit

Students who have completed graduation standards at another VSC school, or who are being awarded credit for course work in which the standard is an integral part of the learning outcome for that course, are waived from the graduation standard requirement at Vermont Tech.

Students who have received a bachelor’s degree from a regionally accredited institution are waived from the graduation standard requirement

  • If a student transfers into a course where the standard is evaluated and has achieved a B- or better in that course, the standard will have been met at the bachelor’s level.
  • If a student has completed the course requirements for a specific program without having satisfied the graduation standards, the student may contact the department chair or director to arrange for further evaluation.

Evaluation Records

The graduation evaluations will be maintained by the individual or party who performs the evaluation for a minimum of 3 years. For faculty who complete the evaluation as part of a course, it is recommended that the evaluations and/or results be maintained with other course grading materials.

Completion of the graduation standards will be reflected in student degree audits and verified prior to graduation. A degree awarded on the Vermont Technical College transcript since 2006 is verification that the standards for that level have been met.

The graduation application is used to initiate the final degree audit and other preparations for graduating from Vermont Tech. The applications are due to the Office of the Registrar no later than December 2 for May graduations and April 30 for June graduations. Whether you plan to participate in the actual ceremony or not, the application and the graduation fee are required to have your degree awarded.

Graduation Participation Requirements

A student who successfully completes all graduation requirements and is recommended by their department graduates and receives a diploma.

Graduates do not receive their diploma at the graduation ceremony. Diplomas are ordered during the summer after the final degree audits are completed. They will be mailed to graduates, normally around the end of July.

A student within 7 credits of the graduation requirements who has applied to walk on their application; and has the recommendation of their department may participate as a walker. Although walkers participate in the graduation ceremony, they don’t actually graduate until they have successfully completed all graduation requirements and are so recommended by their departments. A walker who subsequently completes their degree requirements must reapply for a diploma that’s mailed after approval and the next commencement. Walkers are expected to complete their remaining requirements within one year.

Graduation Requirements

To be eligible to graduate, a student must:

  • Have a 2.00 cumulative GPA
  • Complete at least 30 credits of coursework at Vermont Tech for a bachelor’s degree program; 15 credits minimum for an associate degree or a certificate program; or 18 credits minimum for a master’s degree program
  • Complete 60 credits minimum for an associate degree; 120 credits minimum for a bachelor’s degree; or 30 credits minimum for a master’s degree
  • Satisfy all financial obligations to Vermont Tech
  • Apply for graduation

Department Chairs submit program candidates who satisfy the above, as attested by the Registrar, to the full college faculty for recommendation to graduate.

All schedules listed here are considered drafts. The faculty schedules are academic only and therefore only reflect courses scheduled, not the faculty member’s entire schedule.

Every major has at least one program block. Please review the block(s) for your program and choose the block that you desire; use synonyms to enroll in the course online. The abbreviations for all of the sub-blocks can be found on the abbreviations page.
